Job Description

As an Administrative Assistant in our Disability Support Services (DSS) department, you will play
a crucial role in supporting the administrative functions of AULA’s Disability Support Services
Department. Your main responsibility will be to efficiently collect, organize, maintain paperwork,
perform digital imaging tasks, and upload documentations into google drive and designated
systems.

Essential Job Requirements and Key Responsibilities:
Document Scanning and Digital Imaging:
● Utilize scanning equipment to convert physical documents into digital format.
● Ensure high-quality scans with proper indexing and labeling.
● Perform digital imaging tasks to enhance the clarity and readability of scanned
documents.
Document Organization:
● Categorize and classify digital documents into the DSS Google Drive folders.
● Implement a standardized filing system for easy retrieval of student records.
● Upload scanned and digitally enhanced documents into the system.
Quality Control:
● Perform regular quality checks on scanned documents and data to identify and rectify
any errors.
Confidentiality and Compliance:
● Maintain strict confidentiality of student records and ensure compliance with federal
laws (ADA, FERPA) and associated regulations, and University Policy 6.101 Disbility
Support Services..
Communication:
● Collaborate with DSS team members to coordinate paperwork collection, digital
imaging, and organization processes.
● Using standard, boilerplate email language, communicate effectively with students
regarding document submission, status updates, and digital imaging requirements.
● Refer all student questions related to documentation requirements to the DSS
coordinator.

Qualifications

● Prior experience in administrative roles.
● Strong attention to detail and organizational skills.
● Ability to work independently and manage time effectively.
● Excellent communication skills for interactions with students and team members.
● Understanding of data security and confidentiality practices, particularly in handling
sensitive student information.
● Basic computer skills, including familiarity with Microsoft Office, Antioch Google Suite,
and other relevant software applications.
● Experience in using document scanning equipment, digital imaging software, and
document management systems.
